Maintenance log
The maintenance log is a document prepared by a building professional (a member of a professional order involved in the construction, extension, renovation, repair or alteration of buildings, such as a professional technologist, engineer or architect) which describes, among other things, the maintenance done and to be done in the common areas of the immovable.
It is normally made up of a series of technical documents tracing the history of the building and listing all the technical information concerning the maintenance methods, as well as the work carried out in the building. The maintenance log includes an inventory of the immovable’s components (generally the common portions), as well as a maintenance schedule that indicates the operations carried out or to come, with regard to their maintenance or replacement. Although it is not yet mandatory, a maintenance log does increase the competitiveness of a co-ownership property on the resale market.
This document, where it exists, is part of the register of co-ownership and must be made available to any co-owner who requests it.

MAINTENANCE LOG AND CERTIFICATE OF THE STATE OF THE IMMOVABLE
The board of directors of a co-ownership property will be required to keep a maintenance log and to have it periodically reviewed. Time limits will be determined by a regulation of the Government of Québec in this regard.
The syndicate of a co-ownership will also have an obligation to keep an up-to-date certificate of the state of the immovable, and to give a copy to all co-owners who request it.
The form, content and procedures for keeping and reviewing the maintenance log, as well as the individuals who may prepare and review it, shall be determined by a regulation of the Government of Québec.
Québec will be a forerunner in this matter in Canada.
Certificate of the state of the immovable
The certificate of the state of the immovable is a type of inspection report on the condition of the immovable, including the common portions. It also contains preventative maintenance suggestions to ensure the preservation of the asset.
