Privacy Policy - Synbad
1. INTRODUCTION
Under the Real Estate Brokerage Act, the OACIQ is subject to the Act respecting access to documents held by public bodies and the protection of personal information. As such, it must take the necessary measures to protect the personal information collected, including that collected through the oaciq.com website. The OACIQ shall use the personal information collected only for the purposes agreed upon or in accordance with applicable legislation. The OACIQ does not share the personal information collected with third parties, unless the individual concerned consents to its release or in the cases provided for by law.
The aim of this policy is to inform you of the OACIQ practices regarding personal information collected or the information you provide us with when using the Synbad secure site of the oaciq.com portal and its functionalities. It is an integral part of the applicable Terms of Use.
2. SCOPE
This policy applies only to the Synbad secure site of the oaciq.com portal and the platforms hosted and managed by the OACIQ, including those supporting the online trainings provided by the OACIQ and those supporting licence maintenance. It no longer applies when you leave this website to access third party websites, including sites accessible through the hyperlinks posted on the Synbad secure site of the oaciq.com portal.

3. SECURITY MEASURES
3.1 AUTHENTICATION BY USERNAME AND PASSWORD
Access to Synbad is reserved for users identified and authorized by the OACIQ.
Your username and password are your online identity when open a Synbad session.
3.1.1 Privacy
You must keep your username and password strictly confidential and must not share or disclose them to third parties, or authorize a third party to use them to open a session in Synbad and perform any type of transaction on your behalf.
3.1.2 Change and recovery
A username and a temporary password were mailed to you by the OACIQ for your first login to Synbad. You will be required to change the password during this first login.
For security purposes and to prevent any unauthorized use of your username and password, the OACIQ recommends that you change your password periodically. If you believe that the confidentiality of your password may have been compromised, you should change it. To change your password, please click here.
If you forget your password, you can retrieve it at any time by clicking the “Forgot password” link on Synbad login page. A temporary password will then be emailed to you to the email address on record. During your subsequent login, you will be asked to choose a new password.
3.1.3 Use
For the terms of use related to your username and password, check the TITLE of the Terms of Use – Synbad.
3.2 SECURE CONNECTION
Once you access Synbad using your username and password, the connection is established via a secure protocol SSL (Secure Sockets Layer). The URL displayed in the navigation bar of your Web browser starts by “https://.”
The security of the connection functions during your connection to Synbad, including your connection to platforms hosted and managed by the OACIQ mentioned under item 2. It protects the confidentiality and integrity of transactions carried out during this connection, including those carried out by means of Web forms available in Synbad (for example: Send us your documents, My record or Store).
However, if you access a non-secure site via a hyperlink in Synbad, the secure connection provided by the OACIQ ceases. In this regard, note that this is particularly the case when you switch to the non-secure oaciq.com public site.
Regarding online payments
The following information about you is forwarded to the Fédération des caisses Desjardins du Québec through the payment gateway NETBANX:
- Surname and given name;
- Home address;
- Home phone; and
- Email address.
This information is transmitted for the sole purpose of allowing the Fédération des caisses Desjardins du Québec to process your payment.
In addition, the information collected is sent in the form of an encrypted electronic message to ensure the confidentiality of information contained therein. Finally, this message is transmitted via a secure SSL connection.
The OACIQ does not store credit information you provide during each transaction. That’s why you must provide it for each new transaction.
3.3 AUTOMATIC LOGOUT
To protect your Synbad profile and the personal and confidential information it contains, the OACIQ provided an automatic logout mechanism after 30 minutes of inactivity. Your Synbad session will also be disconnected if you close your browser and do not check “Keep me signed in.” Upon the expiry of this period, you will have to log in again if you want to access Synbad.
4. AUTOMATIC EXCHANGE OF INFORMATION
To allow the oaciq.com website to fully function during your navigation, your computer and the website server exchange some technical information. This information is fragmented during its collection and does not allow for your identification.
In addition, the OACIQ uses Google Analytics only to analyse various information relating to traffic and visits, for statistical purposes and improvement of the oaciq.com website. In this context, the following information is collected by means of a cookie:
- IP address (anonymized before processing);
- Unique random identifier;
- Start and end time of the visit;
- URL of the site previously visited;
- URL of pages visited on the oaciq.com website;
- Browser type;
- Operating system type;
- Type of device (mobile or computer);
- Screen resolution;
- Internet service provider.
This information is collected and stored by Google on servers located in USA, among others. You may prevent Google from collecting data about your use of the oaciq.com website by downloading Google Analytics Opt-out Browser Add-on.
5. EMAIL
If you contact the OACIQ by email, you do so voluntarily. Since no email communication is completely secure, we recommend that you do not transmit sensitive personal information in this way.
6. USE OF INFORMATION
The information collected by automatic exchange of information (item 4) is used only for purposes of administration and improvement of the oaciq.com site and for purposes authorized by law. Subject to information used by Google Analytics, this information is accessible only to the OACIQ staff members responsible for the administration and maintenance of the site.
The information you provide us with through Web forms or by email will only be used for purposes of processing your request and for purposes authorized by law. This information will be accessible only to the OACIQ staff members whose duties require such access.
7. RETENTION AND DESTRUCTION
Except for the information used by Google Analytics (item 4), the information collected by the OACIQ under the terms of this policy is stored on its own servers located in the Province of Québec.
The information is kept and destroyed in accordance with the retention schedule adopted by the OACIQ and with applicable legislation. The OACIQ takes appropriate technical means to protect the personal information destroyed.
8. UPDATES
The OACIQ reserves the right to change this policy at any time. The date of the last update appears at the top of this page.
When you log in to Synbad after any update of this policy, you will be invited to read and accept its terms.
9. RIGHT OF ACCESS AND CORRECTION, QUESTIONS OR COMMENTS
In accordance with the Act respecting access to documents held by public bodies and the protection of personal information, any individual concerned by personal information held by the OACIQ has, subject to the restrictions laid down in this Act, the right to access such information and the right to require its correction if it is inaccurate or if its collection is not authorized.
